At Reflective Roots, we strive to provide exceptional counseling and therapy services. We understand that there may be occasions when you need to cancel or reschedule a session. This Refund Policy outlines the terms and conditions under which refunds are granted. By using our services, you agree to this Refund Policy. 

1. Session Payments

– Payment Structure: Payments for our counseling and therapy sessions are made on a per-session basis rather than for a block of multiple sessions. This approach ensures flexibility and convenience for our clients.
– Advance Payment: Payments for each session must be made in advance, prior to the scheduled session. 

2. Refund Eligibility

You may be eligible for a refund under the following conditions:
– Cancellation: If you need to cancel a session, please inform us at least 24 hours in advance. Cancellations made within this timeframe are eligible for a full refund.
– Rescheduling: If you need to reschedule a session, please inform us at least 24 hours in advance. We will work with you to find a suitable alternative time. If rescheduling is not possible, you will be eligible for a full refund.
– Therapist Unavailability: If your therapist is unable to attend a scheduled session and rescheduling is not possible, you will be eligible for a full refund.
– Unsatisfactory Service: If you are not satisfied with the service provided in a session, please communicate your concerns to your therapist or Dr. Rachna Vyas. We will review your feedback and, if deemed appropriate, issue a refund for that session. 

3. Refund Request Process

To request a refund:
– Communicate Reason: Please convey your reason for the refund to your therapist or directly to Dr. Rachna Vyas. This ensures that we understand your concerns and can address them appropriately.
– Confidentiality: Your personal information and the reasons for your refund request will be kept confidential and will not be disclosed to third parties.
– Review and Approval: Once we receive your refund request, we will review it and notify you of the approval or rejection of your refund. This process typically takes 5-7 business days. 

4. Refund Method

– Payment Method: Refunds will be processed using the same payment method that was used for the original transaction. Please allow 5-10 business days for the refund to appear in your account, depending on your payment provider.
– Partial Refunds: In cases where only a portion of the session fee is being refunded (e.g., if the session was partially completed), the refund amount will be calculated accordingly. 

5. Non-Refundable Conditions

Refunds will not be granted in the following situations:
– Late Cancellations: Cancellations made less than 24 hours before the scheduled session will not be eligible for a refund.
– No-Shows: If you do not attend a scheduled session without prior notice, no refund will be provided.
– Prepaid Packages: If you have purchased a package of sessions at a discounted rate, refunds for unused sessions within the package will be calculated based on the regular per-session rate, and any discounts will be forfeited.
